Capelca is a planning tool for bands. It holds what a band needs to organise itself — dates, who is coming, songs, money — and it is built so that it holds as little else as possible. This page says what it keeps, who else sees it, and how to get rid of it.
Who is responsible
Capelca is operated from the Czech Republic. Write to kontakt@capelca.com about anything on this page, including a request to see or delete what we hold about you.
What we keep
Your account
Your name, e-mail address, and — if you fill them in — a phone number, time zone, language, photo and the notes on your member profile (instrument, bio, links). The phone number is only used to send you an SMS about an event when your band turns that on.
What your band does
Events, rehearsals, who answered what, songs and setlists, venues, enquiries, fees and expenses, files you upload, and the plans and documents generated from them. This is the band's working material and the members of that band can see it.
Signing in
When you ask for a sign-in link we store your e-mail address, a hash of the link (never the link itself), when it expires, and the IP address the request came from. The IP is there so one address cannot be used to send mail to somebody else over and over. Used and expired links are cleaned up.
Your calendar, if you connect one
This is the part worth reading carefully, because it is the part most people assume works the other way round.
If you connect a calendar, Capelca stores only the times you are busy — a start, an end, and whether it is an all-day entry. It does not store the title of an appointment, its description, its location or the people in it. Not hidden, not filtered out later: never received in the first place.
- Google — we ask Google only for free/busy information. The permission we request is "See the availability on your calendars"; we do not request permission to read your events, and we cannot write to your calendar.
- Apple, Outlook or any other calendar — you paste a subscription link. We read the times out of it and discard everything else. Keep that link private: anybody who has it can read that whole calendar.
Your band never sees your calendar at all. They see that a date does or does not clash for you — a mark, not a window with a name on it. Disconnect at any time in Nastavení, and the stored times are removed with the connection.
Who else touches it
Three companies process data on our behalf, and no others:
- Postmark — sends our e-mail: sign-in links, invitations, reminders. It therefore handles your address and the contents of those messages.
- Stripe — takes payment for Kapela+. Card details go to Stripe and never reach Capelca; we keep an identifier, the card type and its last four digits so we can show you which card is on file.
- DigitalOcean — runs the servers, the database and the file storage, in Frankfurt.
Twilio sends SMS reminders, and is only involved for bands that switch them on.
What we do not do
- We do not sell your data, and we do not share it with anyone for their own purposes.
- There is no advertising in Capelca, and no advertising network is given anything.
- There are no third-party analytics or tracking scripts on these pages.
- We do not read your calendar entries, because we never receive them.
Cookies
Two: one that keeps you signed in, and one that protects forms against being submitted from another site. Both are necessary for the application to work and neither is used to follow you anywhere.
How long we keep it
Your account and your band's material stay while the account exists. Sign-in links expire in thirty minutes and are cleared afterwards. Busy times from a connected calendar are refreshed and replaced, and are deleted when you disconnect.
Deleting your account
Delete your account in Nastavení, or write to kontakt@capelca.com and we will do it. That removes your account, your profile, your photo and your calendar connection.
What it does not remove is the band's own record — a gig that happened, and the fact that somebody answered for it. That belongs to the band as much as to you, and deleting a member should not quietly rewrite last season. Ask us if you want your name off it as well.
Your rights
Under the GDPR you can ask us for a copy of what we hold about you, ask us to correct it, or ask us to delete it. Write to kontakt@capelca.com. If you think we have got it wrong, you can complain to the Úřad pro ochranu osobních údajů.
Changes
If this page changes in a way that matters, we will say so by e-mail rather than by quietly moving the date at the top.
